19. Backup, Restore, and Maintenance

19.1 Export Database Backup

  1. Go to Administration -> Settings.
  2. Click Export.
  3. Save the database backup file.
  4. Manually back up the media library separately.

19.2 Import Database Backup

  1. Go to Administration -> Settings.
  2. Click Import.
  3. Choose a valid backup file.
  4. Upload and wait for restore completion.
  5. Restart or refresh the application if prompted.

19.3 Tidy Library

  1. Go to Administration -> Settings.
  2. Click Tidy Library.
  3. Choose options such as removing old revisions and unused media.
  4. Confirm during a maintenance window.

20. Logs, Audit Trail, and Sessions

20.1 Review Logs

  1. Go to Advanced -> Log.
  2. Filter by type, interval, date, page, function, or display.
  3. Click Refresh to update results.
  4. Use Truncate only when log retention policy allows.

20.2 Review Audit Trail

  1. Go to Advanced -> Audit Trail.
  2. Filter by date range, user, entity, or object.
  3. Review audit messages.
  4. Use Export to download CSV.

20.3 Manage Sessions

  1. Go to Advanced -> Sessions.
  2. Filter sessions by date or type such as active, guest, or expired.
  3. Review last accessed time, user, last page, IP address, and browser.
  4. Use Logout to terminate a user session when required.

22. Standard Publishing Workflow

Use this workflow for normal content publishing.

Step 1 - Prepare Screens

  1. Register or verify screens under Screens.
  2. Assign each screen to appropriate Screen Groups.
  3. Assign the correct Screen Settings profile.
  4. Confirm default design/layout configuration.

Step 2 - Upload Media

  1. Go to Media.
  2. Upload required assets.
  3. Add tags and metadata.
  4. Confirm assets are active and not retired.

Step 3 - Create Design

  1. Go to Design.
  2. Create or copy a design.
  3. Add regions.
  4. Assign media to regions.
  5. Preview the design.

Step 4 - Optional: Create Design Group

  1. Go to Design Groups.
  2. Create a campaign.
  3. Assign one or more designs.

Step 5 - Schedule Content

  1. Go to Timeline.
  2. Add an event or use Schedule Now.
  3. Select screens or screen groups.
  4. Select the design or design group.
  5. Set schedule date/time, priority, and repeats.
  6. Save.

Step 6 - Monitor Playback

  1. Review Overview and Screens.
  2. Check Statistics for playback and availability.
  3. Review logs if playback does not occur.

23. Administrative Best Practices

23.1 Security

  • Do not share administrator credentials.
  • Create named users instead of shared administrator accounts.
  • Use user groups to grant least-privilege access.
  • Review sessions and audit trail regularly.
  • Rotate temporary passwords after setup.

23.2 Content Governance

  • Use tags for media and designs.
  • Retire old designs instead of deleting them immediately.
  • Preview designs before scheduling.
  • Use design groups or campaigns for multi-layout playback.

23.3 Operational Maintenance

  • Back up database and media library before major changes.
  • Schedule library tidy operations during maintenance windows.
  • Review licensing status and screen limits.
  • Monitor screen last-access and availability.
  • Export statistics for monthly reporting where required.
